How to Save Time & Become More Efficient in Your Business

Whether you’re just starting out or you’ve got 90 employees, one thing that is a constant is limitations on your time.  As you grow you will have more people to do more things for you but that doesn’t necessarily mean you will have less to do.  But what you do will likely have changed significantly from when you started.

So how you we manage time?  The truth is we can’t. We can only manage ourselves.  We all have the same number of hours in a day. It’s what you do with it that counts.

I have clients across industries, and they all have challenges with time.

Ultimately, it’s not about managing time but your habits.  Habits determine whether:

  • You procrastinate or take action;

  • You complete your to do list;

  • You feel in control;

  • Your staff know what they are doing and trust you; and

  • You’re moving forwards or going backwards.

Your habits determine whether you succeed in the short-term and the long-term.

If you’re struggling with long hours, stress and a feeling of not enough hours in the day here are 5 things you can focus on immediately to start to resolve these challenges:

1.Link Your Habits

I had a client recently who was constantly running from one job to the next, sometimes from early morning until late at night.  The nature of his work is also unpredictable so it is difficult to know from one day until the next what jobs will come in. Nevertheless, as a business owner there are still other things that need to be done.

One time saving strategy we employed was habit linking.  Sometimes he would have a gap between jobs, and he would travel to the office to get his office work done.  Instead we ensured he was mobile, and he started to work from a coffee shop instead. This also made the work seem more fun and he found his productivity went up and saved on travel time.  Linking undesirable job tasks to fun things is a great way of getting into the mindset of getting something complete. A lot of the time business owners are putting things off which is why they become emergencies.

2.Remember Why

Stress is often caused by not having a clear vision and/or not really knowing why you do what you do.  Do you know what your main 12-month goals is? Is it to:

  • Take on a new employee?

  • Purchase a new vehicle?

  • Ascertain a revenue target?

  • Grow market share?

  • Improve brand presence?

Once you know the main 12-month goals you can work backwards from there.  Having too many goals will only scatter and de-motivate you. You can then set 6-month, 3-month and 1-month goals.  When you can see the light at the end of the tunnel day-to-day life becomes a whole lot easier.

Feelings of overwhelm and frustration are often caused by not having clear outcomes and a feeling of not being able to see the light at the end of the tunnel.

3. Stick to Your Priorities

One of my favourite mentors has a quote:

‘If you don’t fill your day with high priority actions, it will fill up with low priority distractions’

Continual fire fighting is a sign of poor efficiencies.  Seek to improve and make things better every single day. Otherwise you will end up reacting to things rather than dictating how you would like your day to be.

4. Outsource Where Possible

In the beginning outsourcing may be small things such as:

  • At home:

    • Cleaning

    • Cooking

    • Housework

    • Gardening

  • In business:

    • Graphic design

    • Administration

    • Phone calls (serviced offices)

As soon as you can afford it, outsource.

5. Improve Your Timekeeping Methods
